Field Mapping

The Field Mapping command of the Fulfillment Tool provides an easy way to connect the fields on the database to the fields on the word document.  Display the dialog by clicking the image\ebx_-846876384.gif button in the task bar, or selecting the Field Mapping... item from the Edit menuThe Field Map dialog box provides you with a spreadsheet style grid. Each line on the grid represents a merge field on the Word document. Double clicking an entry or selecting an entry and then clicking on the Edit button allows you to edit the entry. Double clicking on an empty row or clicking on the Add button allows you to add a new entry.  In either case, you will be presented with the Field Map Edit dialog box which contains the following information:

Word Document Label is the merge field name within the Microsoft Word document whose value will be obtained from the database. For example, suppose you set up a merge field in the Word document called DOB for the member’s date of birth. It appears on the document as <<DOB>>. In this field DOB is entered. Once back on the Field Map dialog, the heading for this parameter in the grid is “Document Label.” 

Access Table provides a multi-choice field for selecting the name of the database table where the value is found. Once back on the Field Map dialog, the heading for this parameter in the grid is "Table.” 

Access Column provides a multi-choice field for selecting the column name on the table containing the value. Once back on the Field Map dialog, the heading for this parameter in the grid is “Column.” 

Format provides a multi-choice field for selection of available formats for the Word document for the type of field that is on the database. If the field is of character format, the choices are: "As is", "ALL CAPS", "all lower case", "One initial cap", "All Initial Caps", "Proper" and "Unicode". If the field on the database is a date, the choices are: "2/6/04", "2/06/04", "02/06/04", "2/6/2004", "2/06/2004", "02/06/2004", "February 6, 2004", "6 February 2004", "Month (2)", "Month (02)", "Month (Feb)", "Month (February)", "Day (6)", "Day (06)", "Year(04)" and "Year (2004)". If the field is on the database is a number, the choices are: "12345", "12,345", "$12,345", "12% (from 12.0)", "12% (from 0.12)", "999-99-9999", "XXX-XX-9999", "999-999-999", "XXX-XXX-999" and "YYy MMm".

Decimal Places is present for numbers.  It allows you to select from 0 to 9 decimal places. Once back on the Field Map dialog, the heading for this parameter in the grid is "Dec". 

Default Value allows you enter the value that will be used if the field on the database is empty. Once back on the Field Map dialog, the heading for this parameter in the grid is “Default.”

VarName is present if the Access Table contains results which vary by payment form within commencement date,  It allows you to identify the variable associated with this element. Once back on the Field Map dialog, the heading for this parameter in the grid is "Other Details".
