Templates: Inserting Graphs
These are the steps for inserting graphs in the Report Writer template.
Open the Template document
To insert a chart go to Insert -> Object -> Microsoft Chart Graph. Be sure to insert a Microsoft Chart Graph -- do not insert a Microsoft Excel Chart or any other type of chart. For Word 2007, you must insert an Object -- do not insert a Chart.
As a helpful tip, while in the template document, it might be necessary to press the Alt + F9 keys to switch between Microsoft Word form field codes and their results. When form field codes are displayed, it is difficult to work with charts. Pressing Alt + F9 turns this off.
To modify chart data to reference the appropriate ProVal Data:
Start the Report Writer and Edit the Report Definition.
Click the Graphs button and highlight the appropriate object.
Click the Go To DataSheet button and the data sheet for the object will open up in the Template Document. Then you can Exit the Graphs dialog box.
Go to the Template Document and place your cursor in a cell in the object’s datasheet.
Switch back to the Report Writer and click Review ProVal Data.
Select the appropriate data tab, highlight the correct field and right-click to insert a Form Field.
If the cursor is in a cell in the data sheet in the Template Document, you will have the option to Insert Field into Graph. If you do not see this option, then switch back to the Template Document and place the cursor in a cell in the data sheet.
A Report Writer data sheet will pop up. Select the cell you want to be referenced by the Form Field by either clicking the cell or typing the cell address into the space provided and click OK.
Note: the Form Field references are saved in the data sheet in the Template Document several rows below the last row of data. Deleting this information will delete the Form Field references in the Report Definition for this object.
